Parents Supervision

Lightning Games gladly hosts the gamers within our Gaming Van, but we remind parents and care-givers that they are responsible for the appropriate supervision of their guests. Parents or care-givers must be available and close-by when we are hosting the gaming event. Please review the Frequently Asked Questions below.

Parents Supervision

Lightning Games gladly hosts the gamers within our Gaming Van, but we remind parents and care-givers that they are responsible for the appropriate supervision of their children and their guests. Parents must be available and close-by when we are hosting the gaming event.

Unruly children

Lightning Games and staff are there to assist gamers to play safely and have a good time. We will guide gamers to play safely and remind parents and caregivers that unruly children will be given notice to change their behaviour. If unruly behaviour continiues then the individuals will be asked to vacate the Gaming Van. Any ejected guests will not be allowed to return without a parent or caregiver present to ensure behaviour is controlled.

Guests aged 16 to 18 are required to have a parent or care-giver on the property and be contactable by the game coach should a need arise.

Guests aged under 16 will need a parent supervision either directly outside & closeby or within the gaming van at all times.

Equipment Damage

Any equipment damaged during a gaming event that is considered not to be an accident by Lightning Games staff, will have to be replaced and paid for by the person or organisation that booked the gaming van. A separate invoice will be issued once replacement costs are known.

Once we receive the deposit and subsequent booked date/time, we will commence communicating with the client to ensure everything goes smoothly. We will:

  • Confirm date/time with client

  • Confirm Address is correct

  • Confirm parking arrangements

  • Confirm arrival time for setup

  • Confirm Electrical and data requirements

Our Gaming Van needs approximately 20 minutes to setup prior to the confirmed start time.

We will require a relatively flat driveway or road-side to park safely. Safety is also on our mind for our guests. We carry bollards that we use to block off to ensure kids can safely enter and exit the Gaming Van.

If we need to, we can bring a generator. This will allow us an extra 10 minutes to setup, therefore we may arrive 30 minutes prior to the event time.

Rescheduling or Cancellation

If an event a customer requests their booked event to be rescheduled or cancelled, we have a few options available.

  • Rescheduling is the first option available. The earlier this is arranged the better. If the proposed date/time is free, then we will reschedule for no additional cost. For impending severe weather events, we will reschedule the event or provide a credit for a newly booked event. No refunds will be payable within one week of the booked event. If we cannot accommodate the preferred date/time, please note that there maybe an impact on refunds. Please review our Refund Policy.

  • Cancellation The second option is to contact us and request the cancellation. Note: Verbal cancellations will not be accepted as we need written advice via email. This is because there is a paper trail if necessary. Please review our Refund Policy.

In the event of a cancellation notice received via email, we will take the time of the email as the formal notification of the event cancellation. Verbal cancellations are heresay and will not be formal. We only take email or SMS cancellations as they show the exact time.

Cancellations may attract an administrative fee as part of the refund process. Cancellations are subject to the following charges and percentages.

  • 100% of deposit is refunded 1 month prior to booking

  • 50% of deposit is refunded 3 weeks prior to booking

  • ZERO deposit is refunded if cancelled 1 week prior booking

  • Administrative cancellation fee - $50

  • Cancellation due to inclement weather forecast will only be confirmed as per the Bureau of Meteorology website warnings. Where a request is received for a postponement of the event due to impending severe weather event, we will allow rescheduling of the event to a new date. We will not provide a refund unless cancellation is requested as per the timings and percentage of refunds above.

We only accept MasterCard, Visa or Direct Deposit into our nominated bank account.

Lightning Games is committed to protecting your privacy. We will only use your provided information that is collected via our booking page for reservation purposes. We will internally use your provided information for invoicing purposes as well. We will never disclose your information to 3rd parties or other entities. We guarantee we will not share or sell your information.

Lightning Games operates over three separate Service Areas. Our travel fees only apply to our Extra Service Area being a distance over 25km from our base in Eatons Hill.

The current pricing model for Travel Fees is $1.50 per KM but only that distance 25km or above from our base in Eatons Hill.

E.g. If your address is 42km from Eatons Hill using Google Maps, then the calculation looks like this:

  • 42km (less 25km from Eatons Hill) = 17km

  • Travel Fees are charged both ways. In this example travel fees apply to 17km.

  • $1.50/km x 17km = $22.50

We offer a 3.5kW generator that accommodates the powering of our Gaming Van by itself. No other entities are to use the generator as it is specifically chosen to power our gaming van alone.

Pricing is as follows:

  • $140 for the first 2-hour period

  • $30 for each following 2-hour period or part thereof

If, on our arrival, Lightning Games staff assess the location unsafe for our customers, gamers or other guests, Lightning Games may request an alternative location be provided by the customer. If an alternative location cannot be found within the bounds of the event scheduled time, we will allow the event to be rescheduled, but a $125 fee will be incurred for this event to be rescheduled.

Lightning Games Gaming Van was designed for all types of weather conditions with exception of High Risk storms/hail. Our Gaming Van is insulated and climate controlled with reverse cycle air conditioning.

Severe Weather Events

In the event of a notification of a Severe Weather Event from the Australian Bureau of Meteorology incorporating the following weather events, we will not risk damage to our Gaming Van nor safety or the safety of our clients.

  • Hail

  • Cyclone or Extreme wind

  • Major Storm or Extremely Heavy Rain

  • Flooding

  • Lightning

If weather turns for the worst during your booking, we will try to do everything within reason to continue. Where we have to close the event early for the safety of patrons, then we will do so. No refund will be possible in these situations as we will have to pay staff for their time already utilised for the event. Cancellation prior to the event will be as per our policies relating to ................

Lightning Games reserve the right to reschedule your event to another date/time. We will work with you to re-organise the event as a no cost to the customer.

Alcohol, drugs or smoking is absolutely prohibited within our Gaming Van. If Lightning Games staff believe that a guest maybe under the influence, they reserve the right to deny access to the Gaming Van. Should this escalate above a peaceful denial of entry, Lighting Games and staff have the right to cancel the event and depart the property immediately.

Lightning Games supplies equipment for our clients to enjoy themselves. Should Lightning Games staff see or believe that equipment has been damaged intentialy, Lightning Games reserves the right to cancel the event.

Any damaged equipment will be the responsibility of the booking client to repay the average price of the damaged item, plus labour charges to repair or replace the damaged item. For examply, should a gamer throw their controller at a TV and break the TV, the cost of removing the TV, purchasing a like-for-like replacement TV, refitting the TV will be the responsibility of the booking client. A separate invoice will be sent via email for these costs once known.

Labour charges for intentional damage is $90per hour plus GST if applicable.

No food or drink items are to be bought into the Gaming Van. This is because spillages are known to occur. These spillages damage our equipment. Sticky fingers also damage our equipment. Therefore absolutely no food or drink or lollies are allowed in the gaming van.

As a booking client, or parent or care-giver, you are of course allowed to take photographs of your children whilst inside our Gaming Van. We actually encourage it.

By booking with Lighting Games, you agree to allow our staff to take photographs or videos for marketing purposes. We sometimes use images or videos for marketing purposes on our website or advertisements. If we happen to take photographs we will keep identities and locations secret.

We understand that sometimes organisations or clubs have to deal with different people to orchastrate payment of our accounts. This is why we have a strict payment prior to service due to the number of previous issues we have had with some clients.

As part of our policy, if your event is booked and not paid for on or before the due date, by booking with us, you agree to our late payment fee. This is to avoid late payments and numerous followups to receive payment in a timely fashion. Lightning Games reserves the right to charge a late-fee each week that our account remains unsettled. This figure is setout on our invoice and will attract interest. When booking with Lightning Games, you acknowledge and agree to make payment by the due date and further agree to late payments as mentioned on our invoice.
